To fully benefit from your Capdesk subscription, it's essential to finish the tasks outlined on your Account setup page. Setting up your company's Capdesk account is a simple three-step process.
Upon completion, your account will be up and running:
Initial Setup
The initial tasks outlined on the account setup page can be completed before the meeting you'll schedule with your dedicated Implementations Manager. Equally, your Implementations Manager will go through this with you in the call. You can schedule a call by clicking the Book a call button located at the top of the Account setup page.
During this call, they will go through the tasks needed to complete the onboarding process including running through your data and or share what data is needed.
- Invite company admins: Invite key stakeholders such as your CoSec, external accountant, CEO, HR, and others to assist you with reviewing company data and ensuring compliance of your Capdesk account.
- Invite legal contact: Add your trusted legal advisor(s) as administrators on your account to provide visibility and a single source of truth for your equity data.

Upload onboarding data: Share a copy of the following required documents to begin your onboarding:
- A fully updated cap table in Excel format;
- If UK company, you can also upload the Register of Allotments and Register of Members
- Equity awards ledgers in Excel format with all historical data;
- A stakeholder contact list containing emails and relationships for all current stakeholders;
- Convertible loan notes documents (if applicable).
- A fully updated cap table in Excel format;
- Add funding rounds: Create the applicable funding rounds on your Capdesk account so they can be associated with transactions to accurately track the amount raised in a given round.
- Add share classes, rights and liquidation preferences: Create your company's authorised share classes and ensure to reflect their liquidation preferences, seniority and participation rights as these details impact your company valuations and exit modelling etc.
- Configure stakeholder settings: Configure the level of access each group of stakeholders will have on Capdesk.
Please be aware that the tasks "Add funding rounds" and "Add share classes, rights and liquidation preferences" can be completed by your Implementations Manager when they migrate your cap table data into Capdesk. |
Validate and Approve Your Data
Once the data has been migrated into Capdesk, your next step is account validation. This ensures that the data is accurately represented in the system, preparing you for the account activation process.
Please note, this section must be fully completed by the assignee. Note the assignee can reassign the task if needed.
7. Review your settings and add-ons: Customize Capdesk according to your needs by defining your privacy settings, configuring your DocuSign account, or enable different equity modules and functionality add-ons.
8. Preview your stakeholder dashboard: Preview the dashboard of your stakeholders. You can check what your stakeholders will see once you activate and your stakeholders accept their issued securities.
9. Review your company admin's access: Define what your admins can view and edit on Capdesk.
10. Review and customize invitation email: Review and customize the email your stakeholders will receive when invited to Capdesk by sending it to yourself. You can edit and customize it specifically for your company.
11. Review your company data: Review your company data and ensure all details are correct. Learn more
12. Confirm your company data is correct: Confirm that you approve your company data.
Theses tasks need to be marked as completed under the three-dots dropdown menu next to the action button.
Activate Your Account
The confirmation of your data will unlock the final task in the onboarding before the activation.
- Request Activation: Request account activation to your dedicated Implementations Manager.
What tasks will my Implementations Manager complete?
Your implementations manager will review the documents uploaded into your Capdesk account and will start working on reflecting the transactions in an import file.
- Your dedicated Implementations Manager will complete your company’s Import File. You may be contacted to provide additional documentation or missing information, and/or asked to review and complete fields in the spreadsheet.
- Your Implementations Manager will create the company's share classes and, if applicable, will create option plan, incentive pool and document sets in your Capdesk account based on the documents provided.
- Once you Request Activation of your account, your Implementations Manager will proceed with its activation.
Upon the account activation, invitation emails will be sent to the company active stakeholders to accept their outstanding holdings. |
